The ideal candidate has three to four years of experience working in a professional business office, is a self-starter who is friendly, communicates effectively, identifies and proactively solves problems, demonstrates a positive ‘can-do’ attitude, and has the ability to multitask.
The office manager serves as the assistant to the leadership team performing a variety of duties as assigned.
- Perform a wide variety of administrative tasks requiring initiative and strong attention to detail
- Work entails confidential and sensitive issues requiring a high degree of discretion
- Coordinate and maintain calendars, independently schedule appointments for the leadership team at their own discretion
- Ensure scheduling conflicts are addressed professionally and proactively
- Ensure project assignments are completed in a timely manner
- Prepare confidential correspondence for signature(s)
- Coordinate and follow up on administrative projects
- Compile information to prepare the leadership team for board and client meetings
- Attend meetings as required, prepare agenda materials, type and disseminate minutes
- Prepare and conduct deposits remotely to the bank
- Maintain and reconcile petty cash drawer
- Arrange travel accommodations for the leadership team, and staff
- Supervise reception desk and assist with phone duties as necessary ensuring professional standards are met
- Responsible for ordering/maintaining office supplies, and conference room supplies as necessary
- Assists the CFO with financial responsibilities and HR-related tasks
- Perform other duties as assigned
Skills, Knowledge, and Abilities
- Highly proficient in Microsoft Office Suite, Google Workspace, and Zoom
- Knowledge of office procedures and functions within an executive office setting
- Ability to update technical skills as needed to perform functions of the position
- Adjust to organizational changes
- Ability to prioritize and perform functions of the position
- Ability to plan and coordinate meetings, functions, and special events
- Ability to make timely decisions
